Bank problem

Back in May I had the bank send a check to a doctor. But I have been still getting bills about the actual bill I sent the check for. So today I called the dr office and asked them why I keep getting bills for this. They said,

"cause we have not gotten any payment..."

Well, the payment does show up on the register on my bank's web site. It shows as cleared on May 5. For the exact amount as all these bills I have been getting. It shows the correct address and account number and payee name. I called said bank and asked about this, And they said,

"We sent the month via the electronic payment. And the office did receive it, so we have no idea why they believe they have not recieved a payment..."

Ok, so I call the dr office and told them all this. I got the same response as before..."we did not get any payment...electronic or otherwise". So I call the bank again and got the same response as above. I then called said dr office again and they told me,

"we need proof that the bank sent us money. We need a check image, the check number, or something physical to prove it was sent..." So I called the bank and told them all this. Their reply was.

"we don't have any images for online electronic payments...you can only get an image for an actual check that your write yourself. All we have is the record that they recieved. We cannot provide an image of a check because a check was not sent. The payment was done electronically and our records say that the dr got it."

So, what am I to do here? Neither side will accept any responsibility for this..and meanwhile nearly $100 is floating around in cyberspace somewhere.

Go to the bank, get the documentation from the bank of where they sent it to. They should have a copy of the electronic check as well.

I am guessing this was an ACH Transfer.
There should be an ID number for the transfer. That number may be on your bank statement, either paper or on-line. That number shows where the money was sent.
That number along with the date and the amount, the doctor's office should be able to find they received the payment.

In the event this was sent to the wrong place, the bank should be able to give you the name and address of who received the funds. Then you will need to work that end to get your mney returned. The bank may help if this was their error.

Did the doctor's office recently change banks or account numbers?
(think bank mergers)

Ditto! I have found it is easier to get someone you are talking to face to face to help in situations like this. If I need a copy of a check the local branch will just print a copy for me, if request it over the phone or e-mail there is a fee and the people on the phone aren't always so inclined to help.

If this were my problem, I would start by calling the bank telling them the problem and asking them what they can do to help me resolve this. If the person you are talking to cannot help you, then you need to talk to the next person up the line, and keep going up the line until you get someone who can help you. They bank sent the money, there is a paper trail and they can provide it, you just have to find the person who can help you. It can be frustrating, but usually the banks will do all they can to help if you phrase the question the correct way.

Do this face to face with the bank, as well as the Dr. office. or whoever it is that does their accounting. No easy I realize. The back should have some sort of number, tracking, or confermation number you can use, this is why the give them to you in the first place. Sounds like you have talked to people who don't want to get into it with you, by phone. However if you are there in person, you aren't so easy to push aside.

Get copies of transaction from bank and deliver it in person to doctor's office. Even electronic transactions have paper trail.

This happened to me. I deal with the pony express bank. I was able to make an inquiry online and by phone, including a conference call to clear things up.

Some businesses are not set up to receive payments in this manner, so I stopped paying this particular bill online. The company did offer a free pay by phone, luckily, so I don't have to use stamps.
